How to Choose Appointment Software: A 2026 Guide
To choose appointment software, start with four numbers: your team size, your monthly appointments, the channel your customers use for messages, and how many people fail to show up. Then check what the price is based on, whether reminder messages are included, and what the smallest plan actually contains. No single program is best for every business, only the one that fits your numbers.
This guide was written by the Rezervlepro team, so we are not a neutral party. That is why we do not score other products here. You will find criteria, questions and a trial plan that work whichever software you look at, along with our own plan numbers and the things we do not offer.
Work out your own numbers first
Before you open a single pricing page, write down these four lines. It takes about half an hour and makes every later decision easier.
- Monthly appointments: count the last three months from your diary or calendar and take the average. Note your busiest month separately.
- People with a calendar: list today's team, plus anyone you expect to add within a year.
- Customer message channel: do most customers write on WhatsApp, message you on Instagram, or phone?
- No-shows: how many appointments last month ended with an empty chair? What were those appointments worth in lira?
A business with this list in hand rarely pays for a bigger plan than it needs. If your no-show number is low, deposits may not be a priority. If it is high, spending a few hundred lira more on a plan can pay for itself quickly.
If your team or your customers work in more than one language, add a fifth line: which languages do you need? Rezervlepro's panel and online booking pages are available in Turkish, English and Russian. Whatever you are comparing, check both the staff side and the customer side, because one can be translated while the other is not.
Understand the pricing model
Appointment software is usually priced on one of four things. Find out which model a product uses before comparing list prices, because the same business can look cheap under one model and expensive under another.
Priced by number of appointments
The plan comes with a monthly appointment quota. This suits larger teams with moderate volume, because adding a new staff member does not change the bill. The thing to check is what happens when the quota runs out.
Priced by number of staff
The plan covers up to a set number of staff, and appointments are often unlimited. This can make sense for a small but very busy team. As the team grows, the plan grows with it.
Priced by number of users
Every account that logs in to the panel adds to the bill. That is no problem for a business run from one computer. If you want each staff member to see their own calendar, calculate the full total.
Priced module by module
The base price looks low, then the online booking page or messaging is added on top. With this model, ignore the base price and look at the total for the modules you will actually use.
Look inside the smallest plan
The lowest number is not always the cheapest option. The real question is whether the features you will use every day are in that plan. Tick this list for each plan separately:
- An online page where customers book for themselves
- Automatic reminder messages
- Customer records and past appointments
- Staff calendars and permissions
- Cash and daily income tracking
- Deposits
- Waitlist
- Package and session tracking
If the first three are missing, the product is often just a digital diary.
Calculate what reminder messages cost
Message costs are the item people miss most often. Find out three things: which channel reminders use, whether they are included in the plan, and whether you have to buy credits. A business with 300 appointments a month sends at least 300 messages, and confirmation and update messages push that number higher. Under a credit model, add that amount to your monthly costs.
The channel matters too. If your customers use WhatsApp, WhatsApp reminders are enough. If they do not, look for software that offers SMS. Our guide to appointment reminders covers channels and timing in detail.
If no-shows are a problem, look closely at deposits
Deposit features work very differently from one product to the next. Check the following:
- Can deposits be switched on and off per service?
- Is there a choice between a percentage and a fixed amount?
- Can you ask for a deposit only from risky customers?
- Does it work by bank transfer only, or can it also take cards?
- Whose account does the money go to?
We explain how to set the amount and the cancellation rule in our guide on reducing no-shows.
Do not skip team and permissions
Unless you work alone, permissions matter as much as price. Should staff see only their own calendar? Should they see customer phone numbers? Who gets to see revenue? You cannot answer these without logging in with a staff account during the trial. If you also plan to track performance, our article on measuring staff performance explains which numbers to look at.
Calculate your plan limit: three examples
The examples below use Rezervlepro's monthly prices as of 4 November 2026. Run the same calculation with your own numbers for any product you are considering.
Solo studio, 40 appointments a month
The Starter plan gives you 50 appointments a month for 499 TL. At this size, unlimited appointments and a long feature list usually go unused. You can try the system first on the Free plan, which gives you 10 appointments per 30 days.
Salon with three staff, 180 appointments a month
The Plus plan gives you 200 appointments a month for 799 TL. Deposits and the waitlist start at this plan. If your busiest month goes past 200, factor in the next plan up.
Centre with eight staff, 500 appointments a month
The Pro plan gives you 600 appointments a month for 1,299 TL. Card deposits through a virtual POS, the no-show panel and session tracking come with this plan. If you have more than one branch, multi-branch is on the Premium plan, which costs 2,199 TL with unlimited appointments.
All Rezervlepro plans include unlimited staff, yearly payment takes 15% off, and paid plans come with a 30-day trial. The current table is on the pricing page.
Try the online booking page as a customer would
You use the panel, but your customers use the online page. Software can look great in the panel, yet if the customer page is awkward, bookings will keep arriving on WhatsApp. Open the page on a phone using mobile data, not on your desktop, and pay attention to these points:
- How many screens are there between choosing a service and the confirmation?
- Does the customer have to create an account, or can they book with a name and phone number?
- Is choosing a staff member required, or can the customer say they have no preference?
- Are the price and duration visible before booking?
- Does the message after booking offer a way to cancel or change?
- Does the page open under your business name, and can you easily put the link in your Instagram profile?
Ask someone who does not know your business to do this check too, a relative or a friend. You know the menu, so you will sail past a step where they get stuck. Watch where they pause. That is the most honest feedback you will get.
Discuss data and support from the start
Your customer list is one of your most valuable assets. Phone numbers and appointment history count as personal data, so settle a few things before you import them. Ask where the data is stored, who can access it, and what happens when your subscription ends. Read the service agreement and privacy terms before you sign. You carry legal responsibility as well, so take any point you are unsure of to a lawyer.
Support is part of the decision too. Know who you will reach when reminders stop going out at noon on a Saturday. During the trial, send the support channel a real question. Note how many hours the answer takes and whether it solves the problem. This is the best way to see whether a team that replies quickly before the sale stays just as quick afterwards.
Finally, look at the help content. Can the software be learned on your own, or do you need to ask someone at every step? This difference comes back each time a new person joins your team. During the trial, watch whether a new staff member can use the calendar unaided on their first day. If a short explanation is enough, you will not spend extra time and money on training. If they need you standing beside them all the time, the real cost of that software is higher than the figure on the invoice. Add those hours to your calculation. You can see how we handle this on our help pages.
Who is Rezervlepro not right for?
Saying this plainly makes your decision easier. If any of the following is a must for you, you are better off looking at another product:
- A mobile app from an app store: Rezervlepro currently runs in the phone's browser.
- SMS reminders: WhatsApp and email are available today, and SMS is marked as coming soon.
- Tabs or POS checks, e-signatures and contract management: these modules do not exist.
- An AI assistant that replies to messages: there is none.
- Resource planning for lifts or rooms: the calendar works by staff member.
The automated WhatsApp text is also a Meta-approved template that businesses cannot edit, so if you want to write your own automated wording, that is a limit worth knowing about. The full feature list is on the features page.
10 questions to ask before you buy
- What happens when the plan limit is exceeded: does online booking close, or is there an extra charge?
- Does the price include VAT?
- Does a promotional price carry on into the second year?
- Are reminder messages included in the plan, or do I buy credits?
- What happens when my staff numbers grow?
- How are deposits collected: bank transfer, card, or both?
- How do I import my existing customer list?
- If I leave, can I export my data?
- Can staff see only their own calendar, without seeing revenue?
- Which channels does support use, and during which hours?
Get the answers in writing. What you hear on a sales call and what you see in the panel are not always the same thing.
A two-week trial plan
A price table gives you an idea, but the decision gets made in a trial account. Pick no more than two products and test them in this order:
- On the first day, enter three services, two staff members and your working hours. Note how long setup takes.
- Open the online booking page on your own phone and book like a real customer. See how many steps it takes.
- Check how the reminder message arrives on your phone.
- Cancel one appointment, move another to a different time, and mark a third as a no-show.
- Log in with a staff account and see what they can and cannot see.
- Enter your real appointments for a week and ask your team what they think.
You can start this trial on Rezervlepro with the free plan. If you have common questions before you begin, the FAQ covers most of them.
A migration plan before you switch
If you are unhappy with your current software, do not move overnight. Follow this order:
- Export your customer list and future appointments from the old software.
- Set up services, staff and working hours in the new software.
- Import the customer list and check a few records by hand.
- Enter future appointments in the new calendar. Check both calendars side by side for a week or two.
- Update the online booking link on your Google Business Profile, Instagram and WhatsApp.
- Close the old subscription only once you are sure you have your data.
Schedule the switch for the quietest week your business has. Changing calendars right before a public holiday or during wedding season brings risk you do not need.
When does yearly payment make sense?
A yearly discount is only a saving if you are really going to use the software. First pay monthly for at least one month, or test it on the free plan. If your team opens the calendar every day and your customers book online, then consider going yearly.
Keep a written note of your decision so you remember a year from now why you chose it. Put the renewal date in your calendar, and check your monthly appointment count again a month before. If the plan is too big, go down. If it is too tight, go up. Do this short check before you let the subscription renew.
Frequently Asked Questions
What is the best appointment software?
There is no single best product for every business. Your team size, monthly appointments, message channel and need for deposits all change the answer. Pin down those numbers first, then test no more than two products with real appointments.
Is there free appointment software?
Yes. Rezervlepro's Free plan has no time limit and gives you 10 appointments per 30 days. That is enough to start with for a low-volume business. As volume grows, you will need to move to a paid plan.
Why do appointment software prices vary so much?
Products charge for different things: appointments, staff, users and add-on modules. Items such as message credits can also change the total. So calculate your total monthly cost based on your own usage, not the list price.
Is it better to pay per staff member or per appointment?
Pricing by appointments usually suits larger teams with moderate volume. A small team with a very high appointment count may do better on a staff-based plan with unlimited appointments.
What is the most common mistake when choosing appointment software?
Looking only at the lowest list price. If reminders, the online page or deposits cost extra, the total changes. The second most common mistake is buying without testing the product with a staff account.
Will I lose my customer list if I switch software?
To avoid that, export your customer list from the old software first. In Rezervlepro, you can import customers with a CSV file from the Import/Export tab on the Settings page. Ask the software you are moving to about importing past appointment records separately.
