Appointment Reminders: 12 Templates and the Right Timing
A good appointment reminder includes the business name, the service, the date and time, and what to do if the customer cannot make it. For most businesses, a single message sent 24 hours before is the right place to start. That gives the customer time to check their plans, and if they cannot come, the slot can go to someone else.
Below you will find a channel comparison, timing rules and 12 templates you can copy. They adapt easily to a salon, a clinic, an auto repair shop or a studio. If most of your customers read Turkish, translate them before you use them, keeping the same short structure.
What should an appointment reminder include?
Customers often read only the first two lines. Without the details below, you will end up sending a second message or taking a phone call:
- Business name: the customer may have appointments with several businesses
- Service: especially if you offer several different treatments
- Date and time: "tomorrow" alone is not enough, so include the day as well
- Staff member: if the customer is coming to see a particular person
- How to change it: a cancel link or a number to call
- Preparation note, if needed: come on an empty stomach, bring your X-ray, remember the car registration
Shorter works better than fancier. In a long paragraph, the time gets lost. Putting the time on its own line lets customers see it without even opening the message.
Which channel: WhatsApp, SMS or email?
Each channel has its own strengths. Choose based on your customers' habits.
Most customers in Turkey already use it. Messages can be long, links open easily and replying is simple. Automated messages from a business need the WhatsApp Business infrastructure and templates approved by Meta. That is why sending bulk messages from a personal phone is both slow and risks getting your number restricted.
SMS
It needs no internet or app and opens on any phone. There is a character limit, and a long message counts as several SMS. It is valuable if your customers are older or do not use WhatsApp.
Low cost, and good for long explanations and extra details. It is weak for last-minute reminders, though, because not everyone checks email during the day. It works well for corporate customers and as a backup channel.
In short: WhatsApp makes sense as the default, with email for customers who have no number on file. Add SMS if your own customers want it.
When should a reminder be sent?
There is no single answer, but the deciding factor is the chance of filling that slot again. If the cancellation comes late, the slot stays empty.
- 24 hours before: a good start for hair, nails, beauty, auto repair and most clinics
- 48 hours before: long sessions, treatments that need preparation, or a calendar booked solid for the coming week
- 2 to 4 hours before: same-day bookings and short-term plans such as gym or personal training sessions
- 72 hours or more: gives customers time to plan for expensive, long treatments
A reminder that lands in the middle of the night annoys people. A 24-hour reminder for a 10:00 appointment arrives at 10:00 the day before, which is fine. If you have appointments starting very early or very late, choose your timing accordingly.
12 ready-to-use reminder and confirmation messages
Replace the square brackets with your own details. These work for messages you send by hand, and for any custom text your own system allows.
1. Booking confirmation
"Hello [name], your [service] appointment at [business] is booked for [date] at [time]. To change it, call [phone]."
2. Standard reminder
"Hello [name], this is a reminder of your appointment tomorrow at [time]. Service: [service]. Staff: [staff]. If you cannot make it, please let us know in advance: [phone]."
3. Same-day reminder
"Hello [name], we are expecting you today at [time]. Address: [address]."
4. Treatment that needs preparation
"Hello [name], you have an appointment on [date] at [time]. Before your treatment: [preparation note]. Any questions, call [phone]."
5. Clinic or healthcare appointment
"Dear [name], you have a [department] appointment on [date] at [time]. Please bring any previous test results. To change it, call [phone]."
For healthcare, never put a diagnosis or treatment details in the message. Someone else may see it.
6. Auto repair
"Hello [name], your car [plate] is booked in for [service] on [date] at [time]. Please bring the registration document."
7. Deposit reminder
"Hello [name], to confirm your appointment on [date] at [time], we are waiting for your [amount] TL deposit. Payment and receipt: [link]. If the time runs out, the slot will be released."
8. Change notice
"Hello [name], your appointment has moved from [old time] to [new time]. If this does not suit you, please write to us at [phone]."
9. Delay notice
"Hello [name], the previous treatment has run over. Your [time] appointment will be about [minutes] minutes late. Thank you for your patience."
10. A polite note after a no-show
"Hello [name], we missed you at your [time] appointment today. To book a new time, write to us here: [link]."
11. Invitation to rebook
"Hello [name], it has been [period] since your last [service]. You can see available times here: [link]."
12. Thank you after a visit
"Hello [name], thank you for choosing us. If you would like to share your experience: [link]."
The last two are different from reminders and may count as promotional. Check whether the customer has given permission before you send messages like these. Rules on marketing messages can be specific, so ask a lawyer if you are unsure.
Common mistakes
- Relying on sending messages by hand during the day. On a busy day, reminders get skipped.
- Not including a way to cancel. If a customer cannot tell you they are not coming, they just do not come.
- Messaging the same customer too often. Every message makes the next one less likely to be read.
- Writing only "tomorrow". If the customer reads it late, they get confused.
- Saying nothing when the staff member changes or the time slips. A short change notice prevents an awkward arrival.
How to set up reminders in Rezervlepro
Open the Messages tab on the Settings page and choose your customer channel. Rezervlepro offers WhatsApp and email, while SMS is not available yet and is marked as coming soon. If the channel you picked fails and the customer has other contact details on file, the system tries to send through the other channel.
The same tab has three separate switches:
- Confirmation message when an appointment is created
- Update message when an appointment changes
- Appointment reminder message
When reminders are on, you enter how many hours before the appointment they go out, between 1 and 168. This is a single setting, so you cannot set two separate reminders for the same appointment, such as both 24 hours and 2 hours before. Pick the one time that suits your business best.
Automated message text comes ready-made in the system, because it is a template approved for WhatsApp by Meta, and businesses cannot edit it. The message includes the business name and phone, the staff member, the service and the time left until the appointment. If the customer cannot come, they can cancel using the link in the message. Use the templates above for messages you write to customers yourself, outside the automated ones.
The reminder feature is on all plans, including Free. You can compare what each plan offers on the pricing page, and our help pages walk through the panel in more detail.
How do you measure the effect?
Do not rely on other people's percentages. Look at your own numbers. The Statistics page shows your completed, cancelled and no-show appointments.
- Before turning reminders on, note your no-show count for one month.
- Set reminders for 24 hours before and run them for a month.
- Compare the no-show count. A rise in cancellations is not always bad, because customers who used to vanish may now be telling you in advance.
- Change the timing and measure again.
If reminders alone are not enough, our guide on reducing no-shows covers the next steps, including deposits and waitlists. To try the automated messages yourself, open a free account.
Frequently Asked Questions
When should an appointment reminder be sent?
For most businesses, 24 hours before is a good start. The customer can check their plans, and if they cannot come, the slot can go to someone else. For long treatments that need preparation, 48 hours may suit better, and 2 to 4 hours for same-day bookings.
How do you write an appointment reminder?
Include the business name, service, date, time and how to make a change, in short sentences. State the time clearly and do not leave "tomorrow" on its own. Add one line of preparation notes if needed.
Is WhatsApp or SMS better for reminders?
WhatsApp is more convenient if you need links, longer content and easy replies. SMS needs no internet and reaches customers who do not use WhatsApp. Choose based on your own customers' habits, and keep a backup channel if you can.
Does Rezervlepro send SMS?
Customer messages currently go out by WhatsApp and email. SMS appears in the panel as coming soon and cannot be used yet.
Can I set more than one reminder for the same appointment?
In Rezervlepro, the reminder is a single setting, and you choose a time between 1 and 168 hours before. Confirmation and update messages are separate and have their own switches.
Do I need customer permission for reminder messages?
Information about an existing appointment and a marketing message are not the same thing. Campaigns and promotions generally need separate permission. It is wise to check your wording and process with your own legal adviser.
