Session and Package Tracking for Dietitians and Nail Studios
Three things decide how well you keep track of regular customers: booking the next appointment before they leave, keeping remaining sessions in one place, and stating your late cancellation rule from the start. For a dietitian, this keeps a client's follow-ups on schedule. For a nail studio, it means infill dates do not get missed.
The two businesses look very different at first glance, yet they share one problem: income comes from regular returns, not a single visit. This guide covers the tracking routine they have in common, then the points where they differ.
Why do regular customers disappear?
Customers usually drift away because time passes, not because of one big reason:
- They left without booking the next appointment, then forgot.
- They do not know how many sessions they have left, and feel awkward asking.
- The time they wanted was taken, and they did not try another one.
- Nobody got back to them after their last cancellation.
Advertising does not solve any of these. A tracking routine does.
Step 1: Set the follow-up interval for each service
Every service has a natural repeat interval. Write a list like this to start, then adjust it to your own practice.
- Dietitian first session: what comes next usually depends on the client's plan
- Dietitian follow-up: weekly, every 2 weeks or monthly
- Nail infill: commonly a few weeks apart
- Gel polish: a few weeks, depending on how fast the nail grows
- Manicure and pedicure: based on the customer's habits
These intervals are prompts, not recommendations. The right interval is decided by the expert or the person doing the treatment. For dietitians, follow-up frequency depends on the client's plan.
Step 2: Book the next appointment on the way out
This is the most effective habit, and it needs no software. When the customer is leaving, ask:
"Shall we book your next follow-up for two weeks from now, at the same time?"
The question is not open-ended, because it offers a specific time. If the customer is not sure, make the booking and tell them they can change it when the reminder arrives. For many customers, postponing is easier than calling again.
Step 3: Use recurring appointments
If a customer comes on the same day at the same time each week, do not open their appointments one at a time. In Rezervlepro, you can choose weekly, 2-weekly or monthly repeats when creating an appointment, up to 52 repeats.
Two things to watch for:
- Do not open repeats too far ahead. When a holiday comes up, you will have to go through those appointments. Three months of repeats is often enough.
- A fixed time does not suit everyone. For customers whose infill gap varies, booking on the way out works better than repeats.
Step 4: Do the package sums
A package brings in cash upfront and ties in the return visit. But the wrong sum damages your profit. Work through this order:
- Write down the single session price.
- Decide how many sessions the package will have.
- Work out the discount you can afford.
- Set the package validity period.
An example, with figures only for the sum:
- Single follow-up: 1,000 TL
- Discount on a 5-session package: 10%
- Package price: 4,500 TL
- Income per session: 900 TL
Know your profit on a single session before you settle on a discount. On nail work with expensive materials, a percentage discount can wipe out your profit fast. In that case, adding a small extra service may work better than a discount.
For healthcare and dietetics, check the professional rules on package sales, promotion and promises. Do not write guarantees such as "guaranteed weight loss".
Step 5: Keep remaining sessions visible
Customers should know how many sessions they have left without asking. Counting sessions in a paper diary causes disputes. Keep them in a system and both sides look at the same number.
In Rezervlepro, package and session tracking is available on the Pro and Premium plans. A package is assigned to the customer, and a session is deducted when an appointment is completed. If you have few customers and no plans to grow, a diary or a spreadsheet may be enough.
Campaign packages on the Plus plan are a different thing. They are for package offers made to customers, while session tracking comes with Pro. The pricing page shows which plan includes what.
Step 6: Write your late cancellation rule from the start
If the rule is not clear for package customers, this is where most arguments begin. A sample text:
"You can cancel or change your appointment up to 24 hours before. If you cancel less than 24 hours before, or miss your appointment, one session is deducted from your package."
In Rezervlepro, if a customer cancels less than 24 hours before and has an active package, a session is deducted. Tell customers about this in advance, or it will not feel fair. For other ways to handle cancellations and deposits, see our guide on reducing no-shows.
Step 7: Get back in touch with customers who have drifted away
Once a month, look at customers who have passed their service interval. A short message with no pressure is enough:
- Dietitian: "Hello [name], it has been a while since our last session. If you would like to continue, available times are here: [link]."
- Nails: "Hello [name], it has been [period] since your last infill. We have times available this week: [link]."
Do not turn this into one monthly bulk message. Pick a small list and write personally. For promotional messages, check whether the customer has given permission.
Where the two businesses differ
The tracking routine is the same, but the details change.
Dietitians
- Sessions can be in person or online. You share the online meeting link and contact details yourself, as Rezervlepro does not provide video calls.
- Keep nutrition plans and measurement records in a separate file or program. Rezervlepro is not diet planning or measurement tracking software.
- Do not write health details in the customer note. Keep to the shortest information needed, since notes are not encrypted.
- If a client has long-term follow-ups, use recurring appointments.
Nail studios
- Treatment time depends heavily on the design. Set up additions such as Nail Art as extra services. Customers can pick them when booking, or you can add them at the table.
- Adding one lengthens the appointment. If it clashes with the next appointment, the following ones are moved forward and a delay notice goes out. An extra's duration can also be 0 if it does not need more time.
- Keep customer preferences in the notes, and use the allergy note for allergies. Ask permission before you share any before-and-after photo.
- Customers often ask for a particular technician. Keep staff selection open on your online booking page.
What should you measure?
Review these numbers once a month:
- Customers who came two or more times in the last three months
- Customers past their interval with no new appointment
- Packages sold and completed
- No-shows and late cancellations
The Statistics page shows overall appointment counts, while a customer's Appointment History gives the individual view. There is no ready-made report of customers past their interval, but at a small scale you can pull one together by going through your customer list. To try this routine, open a free account. The features page lists what else is available.
Common mistakes
- Selling packages with no expiry. Without a validity period, sessions people try to use years later cause problems.
- Keeping remaining sessions only in your head.
- Mentioning the late cancellation rule at the moment of cancellation. Customers should know it at the point of sale.
- Going back to drifted customers with a discount. Try a reminder first and save the discount for last.
Frequently Asked Questions
How do you track sessions and packages?
Assign a package to the customer, deduct a session with each completed appointment, and keep the remaining number in one place. State the validity period and late cancellation rule in writing at the point of sale. A spreadsheet works if you have few customers, and as numbers grow, a system lowers the risk of errors.
How can a dietitian stop clients missing follow-ups?
Book the next follow-up before the client leaves, set up recurring appointments for regular clients, and use automatic reminders. Once a month, send a short personal message to clients who have passed their interval.
Which Rezervlepro plan includes package tracking?
Package and session tracking is on the Pro and Premium plans. Campaign packages start at the Plus plan. Recurring appointments and reminders do not need package tracking.
Is a session deducted for a late cancellation?
If a customer cancels less than 24 hours before their appointment and has an active package, a session is deducted. So customers know from the start, state the rule when you sell the package.
Does Rezervlepro create diet plans?
No. Rezervlepro handles appointments, reminders, customer history and package tracking. You will need a separate tool for nutrition plans and measurement records.
What happens to the calendar if Nail Art is added to a booking later?
When added as an extra service, the appointment gets longer. If it clashes with the next appointment, the following appointments are pushed forward, and customers whose appointments moved get a delay notice.
